RFQ and document intake for the review desk
Bids arrive as email, PDF, spreadsheet, and a zip of drawings. Addenda land later in a different thread. Estimators spend the first hours finding scope, quantities, and dates before they price anything. Missed pages become missed scope. This agent opens the package, extracts the commercial facts, lists what is missing, and files a brief. People still price the work.

How it runs
01
Define the brief
We write down the fields a good handoff contains for your business: dates, ship-to, spec section, quantity breaks, alternates, and the questions that usually come back.
02
Read the package
The agent works through the email and the attachments, keeps the source page for each extracted line, and flags low-confidence fields instead of hiding them.
03
Catch the addendum
Later files in the same thread update the brief and show what changed, so the estimator is not pricing yesterday's set.
04
Hand off to pricing
The brief lands in the inbox, the bid board, or the CRM you use. No price, lead time, or exception is committed by the agent.
Where it shows up
Bid invites and addenda
Plan-room emails and GC invitations become a scope list: package, bid date, alternates, and the pages that mention your trade. Addenda update that list.
Spec and dieline requests
Brand-owner emails with a structure, a size, and a volume break become a quote ticket. Missing food-contact or print details are called out before estimating starts.
RFQ spreadsheets and drawings
Line items, revisions, and promised dates are pulled from the workbook and the PDF. The planner sees conflicts between the email and the drawing rev before quoting.
Questions we get
Does the agent price the job?
No. It prepares the intake. Margin, capacity, and exceptions stay with the estimator or the planner.
How does it handle drawings?
It finds title blocks, revision marks, and callouts that match the fields you care about. It cites the sheet. A person still owns interpretation of complex geometry.
What if two documents disagree?
The brief shows both values and the file each came from. It does not pick a winner.
Can it file into our CRM or bid board?
Yes, when that system accepts an API or a structured email. If it does not, the brief arrives as a document your team can drop in.
How do we trust an extraction?
Every field keeps a source pointer. During the prototype we score a held-out set of real packages and only advance fields that clear the bar you set.
