After-hours AI voice agents for manufacturers
What a manufacturing voice agent should answer after hours, what it should escalate, and which order records it needs before it takes a live call.
A manufacturing customer who calls at 9 p.m. usually wants one of three things: a ship date, a part, or a person who can say the line is down. The night shift can sometimes see the order. They rarely have the account history, and the note they leave is easy to lose.
An AI voice agent is useful here when it is tied to the same record the day desk trusts. It is a poor fit when the call is really a negotiation.
What the agent can close
Start with calls that end in a lookup:
- Order status and the date the system already shows
- Whether a serial or lot is on file
- Dock or pickup windows that exist on the order
- Which plant or planner owns the account
The agent should say the date it found, name the system it read, and stop there. If the field is blank or the order is on hold, that is the answer. A guessed lead time is a failed call, even if the caller hangs up happy.
What stays with a person
Keep these off the autonomous path:
- Price, expedite fees, and credits
- A promise that moves ahead of another customer
- Safety, quality holds, and anything that admits a defect
- Callers who ask for a named person
The handoff needs the caller, the account, the order or serial, and the question still open. A warm transfer that starts with "they want an update" wastes the reason you bought the agent.
Manufacturing teams often pair the voice desk with ticket support, so the night call becomes a case the planner sees in the morning instead of a voicemail.
What to connect first
You do not need every system on day one. You need the screen the coordinator already opens to answer "where is my order?" That is usually the ERP or the order portal, plus the phone number customers already dial.
Test with last month's after-hours calls. Score three things: did it read the right order, did it refuse to invent a date, and did the escalation arrive with enough context that nobody called the customer back just to ask what they wanted.
When those three hold, widen the script. Until they hold, keep a person on the send and on the promise.
